Specifying business services: learning from software engineering

Abstract

Purpose – The specification of business services (BS) is one of the key factors for success in service provision. Researchers and practitioners have identified a set of problems in BS specification, namely: communication problems between providers and buyers, inaccurate specifications and changes in requirements. These problems were identified in the software engineering (SE) field many years ago, resulting in the development of many techniques and tools to address them. Given the similarities between the two fields, the purpose of this paper is to identify the main lessons learned in SE and to propose how they can be adapted to the BS field. Design/methodology/approach – The paper takes the form of a literature study and presents a conceptual solution. Findings – To address communications problems and inaccuracies in BS specification, a formal requirements specification stage is required. Requirements should be set out in a well-structured written, definition, document which can be used at a subsequent stage for design of the service (the definition of the solution). A requirements document for BS is proposed based on BS literature and SE methods. This document is based on the approaches used in the SE field for improving communication and reducing inaccuracies and covers the information needed in the BS field for specifying a business service. Second, a life cycle approach is proposed based on SE practice. It is shown that different lifecycle sequences can be used depending on the degree of fluidity in the communication between buyer and provider, the complexity of the BS and the stability of their requirements, with a repetitive process where specification and design are revisited iteratively and/or incrementally often being the most appropriate. This approach helps to stabilise requirements and to avoid inaccuracies being made in the specification. Research limitations/implications – This paper is literature based. Although still untested empirically in the BS field, the recommended approach has been intensively proved in the SE field. Originality/value – Requirements specification is a necessary (monetary, time and resource) cost for successful BS provision. The BS industry must realise that requirements have to be set down in writing and agreed upon with customers before initiating the design of the service

In he se ices managemen ield he e a e models, me hods and ools de o ed o BS
design, o example quali y unc ion deploymen , s uc u ed analysis and design
echnique, ailu e mode and e ec s analysis, se ice bluep in ing and e e ence models
(Bullinge e al., 2003). Howe e , none o hese add esses he abo e p oblems as hey do
no pay enough a en ion o he speci ica ion phase. They all end o assume ha all he
buye ’s equi emen s a e s able and clea ly speci ied and p oceed di ec ly o he se ice
de ini ion.
The so wa e indus y has had o con end wi h he same h ee p oblems men ioned
p e iously (S andish G oup, 1995). As a esul , in ecen decades many app oaches and
solu ions ha e been p esen ed and adop ed by he indus y. The main conclusions in
he so wa e indus y a e ha a g ea deal o a en ion should be paid o speci ying
equi emen s and o se ing up a a ie y o well-s uc u ed s ages o educe he impac
o hese p oblems (Jacobson e al., 1993; Cockbu n, 1997, 2000; Go esdiene , 2002;
Robe son and Robe son, 2006).

2. Add essing p oblems common o BS and SE

A s udy by he S andish G oup (1995), i led “The Chaos Repo ” led o an in lec ion

o iginally es ima ed. The epo also iden i ied a numbe o majo p oblems e y

This is a p oblem in bo h he SE and BS ields. In he BS ield, a ull and clea

3. De eloping BS speci ica ions

p o ide and buye needs o be unambiguous and p oblem- ee, we a gue ha as in SE,
documen s w i en in na u al language should be used (Cockbu n, 1997). Thus, we
p opose ha BS speci ica ions should ollow a simila app oach o hose used in he SE
ield o w i ing and s uc u ing he equi emen s documen s, and con ain a simila se
o in o ma ion. As in SE, we belie e ha BS documen s should be well s uc u ed.
I would be use ul o ha e equi emen s specialis s o co e all he aspec s ha a e
ele an o se ice speci ica ion. This imp o es he chances o a i ing a a mo e
comp ehensi e speci ica ion and a oiding inaccu a e speci ica ions.
Building on ou p e ious discussion and based mainly on Du a
´n (2000), we p opose
an adap a ion o SE speci ica ion documen s uc u e in a documen s uc u e o BS
speci ica ions. This s uc u e is ou lined in Table I. The i s wo columns ou line he

3.2.1 De eloping he documen . Ea lie we highligh ed a numbe o po en ial
p oblems in he de elopmen o BS speci ica ions. We p opose ha in de eloping a
speci ica ion documen we can build on and adap some o he echniques used in SE.
A oiding inaccu a e speci ica ions. The e a e h ee main echniques and ools ha
can be used. Fi s , a clea and comple e index (lis o sec ions) should be used o a oid
incomple eness. Second, a se o empla es o speci ying he i ems in each sec ion can
be used o a oid inaccu acies and incomple eness (Du a
´n, 2000; Cockbu n, 1997;
Somme ille and Sawye , 1997; Robe son and Robe son, 2006). A inal echnique is o
