D6.7 Project Videos 4 The HYPERGRYD project aims to reach three over-arching general objectives: • To prove smart energy networks as the future of efficient energy management in DHC in synergy with the electrical grids in LEC/smart cities of the future, • To define the roadmap to design and plan future DHC as well as the modernization of the existing ones in different climates and RES penetration levels toward 4th-5th generation, • To demonstrate HYPERGRYD RES-based enabling technologies, smart energy grid solutions empowered by new ICT tools and services as the key for this evolution. During the project, the HYPERGRYD solutions have been implemented across four live-In-labs (LILs) in three representative climates, with special consideration of their cost effectiveness and potential replicability to finally achieve these three main objectives. This document (D6.7) contains all the information compiled and developed to make the HYPERGRYD videos, including the (a) HYPERGRYD project presentation video focusing on project objectives, (b) a series of “HYPERGRYD solutions” videos to highlight project partners and developed technology solutions, (c) General Assembly (GA) summary videos, (d) Live-in-lab (LiL) stakeholder workshop recording videos and (d) Woman in District Heating and Cooling videos Finally, the document describes the preparation of the final video, intended to disseminate the achieved results by the end of the project. All videos have been planned and produces to ensure that key stakeholders and audiences are reached, in line with the project’s communication plan. Schedule for the HYPERGRYD Final Video .......................................................................... 20 D6.7 Project Videos 7 1 Introduction This deliverable describes and reviews all the videos and image materials that have been or will be used in the HYPERGRYD project for communication (both in social networks and events) and results dissemination, as well as how these materials have been communicated and disseminated. Videos and audiovisual material are potent tools to communicate the project objectives and to disseminate the results as they can reach different audiences in different contexts: they can be shown in a presentation, at congresses and fairs, can be published on social networks (including the HYPERGRYD LinkedIn page, X account and the YouTube channel), etc. Here presented audiovisual material has been designed and prepared for communication and dissemination campaigns to raise awareness and highlight the work, results and partners involved in the project. The HYPERGRYD project also aimed to promote wider inclusion goals such as gender equality by participating in the ‘Woman in District Heating and Cooling’ campaign. In preparing and implementing the audiovisual outputs, the project addressed all relevant stakeholders and multipliers, such as the scientific community, technical experts, strategic experts and policymakers, industry stakeholders, the general public, and end-users. Our overall stakeholder engagement strategy is described in the project's Strategic Communication and Dissemination Plan (D6.2, M6). This deliverable is part of Task 6.1 of WP6, whose main objective is to promote and widen the project's dissemination. It also aims to support the rest of the work packages and the long-term objectives of the HYPERGRYD project. This document describes and reviews the following HYPERGRYD audiovisual material: • HYPERGRYD project presentation video • HYPERGRYD solutions videos • General Assembly (GA) summary videos • LiL workshop recordings • Woman in District Heating and Cooling videos • Preparation of the final project video The project videos are available to the public on the HYPERGRYD YouTube channel: https://www.youtube.com/@hypergrydprojecteu3829/video. 1.1 Abbreviations DHC: district heating and cooling GA: general assembly ICT: information and communication technology LEC: local energy community LiLs: live-in labs RES: renewable energy sources D6.7 Project Videos 8 2 HYPERGRYD Project Presentation Video The video was planned to be completed in the project's first year. It was uploaded to the HYPERGRYD YouTube channel in M14, integrating a complex discussion on how non-renewable resources should be presented and the agreed approach of the project in reaching the set objectives. 2.1 Preparation of the Project Presentation Video The process for making the video was set up as follows. Firstly, a script was written specifying the messages that were important to convey. The script raised the problem of the approach to be undertaken by the project in integrating different energy sources. Relying on renewable electricity alone is not efficient in some sectors, and therefore district heating and cooling (DHC) is presented in the video as a complementary solution. The video presents the hybrid energy grid system and how the different HYPERGRYD solutions are encompassed. The script was shared with all partners, with time provided for comments and feedback. HYPERGRYD graphic Once the script was defined, a storyboard was prepared, where all the elements specified in the script were further described. Based on this story, the first versions of the video were made. A total of eleven versions of the video were produced until the final video was completed and published. 2.2 Communication of the of the Project Presentation Video The project presentation video has proved to be a powerful tool for raising awareness of the HYPERGRYD project objectives and activities. It was posted on the project website's homepage and the HYPERGRYD YouTube channel. It was also shared on other social media (LinkedIn and X) displayed at relevant fairs and events to explain the project visually. Since its publication on the project's YouTube channel, the video has had 251 views. It can be viewed here: https://www.youtube.com/watch?v=g7kligutq3U Furthermore, to reach the local Live-in-Labs (LiL) audience, the presentation video was subtitled in Italian, Polish, and German. It has enabled partners in the LLIL countries to show the video, publicise the project in their own language, and reach a section of the population whose native language is not English. Schedule for the HYPERGRYD Solutions Remaining Videos 3.3 Women in District Heating and Cooling (Women in DHC) During Reporting Period 2 (RP2), a new campaign was started to highlight the role of women in the District Heating and Cooling sector and to promote gender equality. The video series was called «Women in District Heating and Cooling». The videos have been prepared using a template with the questions (as in the previous interview campaigns) for the women participating in the HYPERGRYD project to answer. These questions are as follows: • Name and completed studies • What does it mean to be a woman in your job? • Some advice for future generations The template is shown in Figure 11. Women in District Heating and Cooling Interviews D6.7 Project Videos 18 3.3.1 Schedule for the remaining HYPERGRYD project videos There are still two interviews to be published in this series, «Women in District Heating and Cooling», one in January and the other in February 2025, considering that the final project video is planned to be released in March. The publication schedule is as follows: Figure 13. Schedule for the Women In DHC Remaining Videos D6.7 Project Videos 19 4 Final HYPERGRYD Project Video The final video is intended to disseminate the HYPERGRYD project results. Therefore, it will focus on four blocks that refer to the four Live in Labs: Eurac Research (Bolzano, Italy), Environment Park (Turin, Italy), KEZO Research Center (Jablonna, Poland), Sonnenplatz (Großschönau, Austria). The idea is to record the most significant results and achievements in each Live in lab and explain them to the stakeholders and the target audience. It is to be structured in four parts so that each Live in Lab participates, and that al jointly contribute to the final HYPERGRYD video. This approach has been espoused because Live in Labs can use their capacity to reach out locally to their stakeholders. That way, we can have four separate videos and, at the same time, one that brings together all four with the results. 4.1 Preparation and Schedule for the final HYPERGRYD project video 4.1.1 Preparation of the final HYPERGRYD project video To prepare the video, we follow an established procedure that ensure effective execution in time and content. Therefore, the sequence of steps is as follows: • Script: This script includes the text for the voice-over and possible related shots. COMET will elaborate on this first draft with the collaboration of the coordinator ARCbcn. Once the script has been prepared, all the partners will be asked to review it. • Storyboard: This is the graphic script, which is a visual translation of the script in drawings. • First draft: This is a draft of the video. As it is a draft, the voice-over is not entirely defined. It is a first approximation to adjust the texts, the voice-over, and the images shown in the storyboard. In this first draft, the acknowledgements, the logos of the partners participating in HYPERGRYD, the logo of the European Union, the sentence certifying the project's grant, and the number of the Grant Agreement should be present. • Final Video: All the elements of the first draft are adjusted until the coordinator validates the final version. D6.7 Project Videos 20 4.1.2 Schedule for Final HYPERGRYD Project Video preparation A timetable is established to carry out the steps mentioned above, considering the recordings, texts and graphics. The timetable is shown in figure 14: Figure 14. Schedule for the HYPERGRYD Final Video D6.7 Project Videos 21 5 Conclusions Generating videos and audiovisual materials has been an ongoing HYPERGRYD project activity that will continue until the end of the project. This audiovisual material considers the project's visual identity, and it has been a crucial tool for promoting the project objectives and results among stakeholders, wider media, and project followers and disseminating the results. A set of different audiovisual materials and videos produced throughout HYPERGRYD has publicised the technological innovations, challenges, benefits, and economic, energetic, and technological impact of the project. During RP1, the «Meet Our Partners» campaign was launched, which consisted of a series of interviews to get to know the partners. From this series of interviews came the idea of recording interviews with the partners, as the images would allow the target audience to better identify the partners, and the partners would have the opportunity to explain their technologies more effectively. Thus, the «HYPERGRYD Solutions» interview series was born. At RP2, and after feedback from RP1, the «HYPERGRYD Solutions» campaign was continued and a new one designed. This time, the aim was to promote gender equality in the energy industry. Therefore, a series of interviews called «Women in District Heating and Cooling» was launched, in which women participating in the project related their experience in the sector and shared advice with the new generation starting their careers in the District Heating and Cooling sector. In addition, general, introductory project presentation video was produced, as well as summary recordings from GAs and from the stakeholder workshops. Finally, to effectively show the results of HYPERGRYD, a final video is planned in which each Live in Lab will explain how HYPERGRYD technologies have been implemented and the next steps.
