File Naming Best Practices for Researchers: 'No more final_final_really'

Abstract

The new PhD, Master's and Bachelor's degree students working in interdiscplinary groups at the Department of Natural Sciences at the Bonn-Rhein-Sieg University of Applied Sciences (H-BRS) often lack experience in the field of research data management. This poster highlights the need of standardising the best practices on file naming and sheds light on the methods of knowledge transfer that could be implemented to target the community in academic space. The poster was created as part of the certificate course Research Data Management at Technische Hochschule Köln (2024/2025).

File Naming Best Practices for Researchers: ‘No more final_final_really’ Avinash Gupta MOTIVATION BACKGROUND METHODS RESULTS DISCUSSION AND CONCLUSION Problem Young academic staff, such as PhD candidates, postdoctoral researchers, and master’s dissertation students, often lack experience in the field of research data management (RDM). The professors working in interdisciplinary research groups at the Bonn-Rhein-Sieg University of Applied Sciences (H-BRS) use individual styles for file naming, leading to a less standardised system. This creates a challenge for the staff at the university library, who cannot provide a one-sizefits-all solution to every subject-specific group. Aim The creation and publication of easy-tounderstand online material on the H-BRS education portal and conducting regular workshops for subject-specific academic staff. Need for Research Data Management Research consortium CytoTransport (DFGfunded project) firmly focuses on implementing an active data management plan (DMP). •Efficiency in Research: An active DMP for the research consortium makes the research more streamlined. •Research Quality: It promotes ethical and highquality data handling practices. Need for Tailored Workshops and Consultation •Stringent RDM practices are not yet widely adopted by the new PhD, M.Sc., and B.Sc. students in the CytoTransport working groups. •With individual supervision, the focus can be made on different kinds of data and file types. Workshops and Consultation Objectives: To promote the basics of research data management in theory and practice Audience: Researchers and students at the Faculty of Natural Sciences at H-BRS Timeframe: 60-minute sessions Format: Delivered online Structure: Bite-sized content – 1. File Naming Convention, 2. Folder Structure 3. Storage, etc. Design: A repeatable and structured training blueprint Content Creation Recording Studio at H-BRS is a great infrastructure to create content on different RDM topics, and H-BRS hosts the media on its portal for long-term storage and access. Individual Supervision RDM Clinic: I invite newly recruited PhD and Master‘s dissertation students to consult on a regular basis where they are provided with tips and tricks on making their data clutter free. Workshops So far, we have conducted three workshops to sensitise the staff on the basics of research data management, where we do not give any presentation and show a live demo. This involves subject-specific research data management in the fields of biology, chemistry, and computer science. Online Media I have created a video on topics such as file naming and folder structure, which I have uploaded online and made freely available for access. https://youtu.be/TSH2wYeVmrQ Identified Challenges •Level of Detail: Abundance of information on RDM. Striking the right balance between general relevance and specific utility. •Participation: Low awareness about the themes in RDM hinders the adaptation to the evolving landscape and leading to less exchange among peers. Opportunities •Scalability: Possibility of extending the concept to other research groups at H-BRS with the support of library staff.
